Accommodation
Accommodation is not included in the registration fee, however, should you wish to book a room at The Renaissance Hotel preferential rates have been agreed for World Agriculture Forum (WAF) attendees.
To book a room please click on the ‘Renaissance Brussels Hotel’ link below. This will direct you to the hotel home page with the discount code already entered in the appropriate field. You then need to enter your arrival date to begin the reservation process.
Room rates:
199.00 Eur per night, for a Deluxe single room only
219.00 Eur per night, for a Deluxe double room only
Full American buffet breakfast buffet is 25 Eur per person
The discount applies to standard/deluxe rooms only – should you wish to book a different type of room please contact the hotel on the number below.
Cancellation policy:
Free of charge 72 hours prior to arrival date
After 72 hours, the first night will be charged on the provided credit card
Please note:
WAF discounted rooms are limited and offered on a ‘first-come, first-served’ basis. There is a cut off date for discounted room reservations – 26th September 2011 – after this date rooms will be offered only upon space and rate availability.

Access Requirements
We make every effort to ensure our events are accessible for all delegates. For any specific access requirements, please contact the events team on +44 (0)20 8267 4011 or email claire.hill@worldagriculturalforum2011.com.
On The Day
Please note that we may take photographs, video and audio footage of the event, which may include speakers and the delegation, and this may later be used in editorial features and/or in marketing and promotional material. Audio and visual recordings or the distribution of commercial materials are not permitted without our prior consent. We accept no liability for damage to or loss of personal belongings at the event venue.
Speaker Confirmation & Changes
We arrange our speakers and events up to six months in advance and, as the date of the event approaches, sometimes speakers are prevented from attending for personal or business reasons. We always endeavour to find suitable replacement speakers of the same calibre. We do appreciate your understanding in these matters. Please see the website for regular updates on the speaker faculty. The Congress organisers reserve the right to vary the content, timings, location and/or speakers and as such accepts no liability for variations.
Dietary Requirements
Vegetarian lunch options will be provided as standard. However, if you have any other specific dietary requirements, please inform the Congress organisers as soon as possible, so that we are able to arrange suitable catering.
Confirmation Procedure
Once we have received confirmation of your booking in writing (either online, by fax or post) we will send you a confirmation email. The dispatch by us of this email constitutes a legally binding contract and you will be liable for cancellation charges should you not be able to attend (replacement attendees, however, will always be accepted). If you have not received your confirmation email 14 working days after submission of your booking, please contact the Congress organisers on +44 (0)20 8267 4011 as there may be a problem with your booking. The Congress organisers are unable to accept responsibility for the non-arrival of information. The Congress organisers reserve the right to decline any booking. If you request to be invoiced, payment terms will be 28 days from date of booking and invoices will be sent out via post. If your organisation uses a Purchase Order (PO) Number system and a number has not been supplied, this may cause delays when processing your booking. Please do inform us as soon as possible of your PO number, so that we can amend your invoice accordingly. If you chose to pay by credit card you will receive an email confirmation from RBS WorldPay. Whether paying by invoice or credit card, your VAT receipt will be sent via post from our accounts department, once full payment has been received. Please note full payment must be received prior to the event start date.
Cancellations
All cancellations must be made in writing to lucy.kinnear@worldagriculturalforum2011.com and received by us no later than 1 November 2011. We always acknowledge cancellations via email. Such cancellations are subject to a handling and administration fee of €112.00 + VAT per delegate. We regret that no cancellations are accepted within 28 days of the event date. However, a substitute delegate can always be nominated. Substitutions on the day of the event are accepted at the organiser’s discretion only. Pre-payments will not be refunded and invoiced sums will be payable in full, except in cases where it has been possible to mitigate loss. The Congress organisers shall not be liable to you for travel accommodation or other costs if we are required to cancel the event as a result of an event outside our control (including, without limitation, to force majeure, military operations, acts of terrorism or threats of any such acts, any strike action or other industrial action or any other incident). If in this instance the event is cancelled, the Congress organisers will retain 50% of the price of the delegate place to cover administration costs.
